For most household moves in Waterloo Region, booking four to six weeks ahead gives you a real choice of dates and times. If your move falls on the last few days of a month, in June through August, or around the end of an academic term, aim for six to eight weeks or more. A mid-month weekday can often be booked with a week or two of notice.
That is the short answer. The longer one is about why certain dates fill up, what you can do if you are already inside the window, and why getting the quote started early matters even if you have not settled the date yet.
Why Some Dates Fill Up First
Moving demand is not spread evenly across the calendar. It bunches up around a few predictable points, and every moving company in the region feels the same pressure at the same time.
- Month-end and the 1st: most residential leases and many closings turn over at the end of the month, so the last two or three days and the first of the month are the most requested dates of all.
- Summer: families tend to move between school years, and home sales are busiest in the warmer months.
- Student turnover: Waterloo and Kitchener have large university and college populations, so the weeks around the end of April, late August and early September are busy for apartment and single-room moves.
- Fridays and Saturdays: people want the weekend to unpack, so the end of the week goes first.
A Practical Booking Timeline
- Eight weeks or more: summer month-end dates, and larger homes that need packing services as well as moving.
- Six to eight weeks: any month-end date, and student turnover weeks.
- Four to six weeks: most household moves outside those peaks.
- Two to three weeks: small moves, single rooms and mid-month weekdays — often possible, never guaranteed.
- Under a week: worth asking. Cancellations and gaps do happen, especially mid-week.
Start the Quote Before You Have the Date
You do not need a confirmed closing or lease date to begin. A quote needs an honest picture of the move — what is going, how much access work there is, whether you want packing — and that picture takes a little time to put together.
With Stallion, the first step is a short form. We send basic pricing and ask for photos, a video walkthrough, or a virtual assessment, and then a written quote follows. If the date is still moving, we can hold the plan and confirm it once you know. Starting early means the quote is ready the moment your date is.
A virtual survey is usually the quickest way to get from "we are probably moving" to a quote you can rely on.
If Your Date Is Flexible, Use It
Flexibility is the single most useful thing you can bring to a booking conversation. Moving on the 27th instead of the 30th, or on a Tuesday instead of a Saturday, often opens up times that are simply not available at the peak.
If you have overlap between your old and new home, even a few days, tell us. It lets you pick a quieter date and takes the pressure off the day itself.
Small Moves Have More Room — But Not Unlimited
A single room, a studio or a few pieces of furniture fits into gaps that a full house cannot, so small moves can often be booked on shorter notice. The exception is the student turnover weeks, when small moves are exactly what everyone is booking. If you are moving out of student housing at the end of April or into it in late August, book as early as you would for a family home.
What Else Needs Lead Time
The movers are not the only thing that needs booking. Several pieces of a moving day have their own lead times, and each can delay the move if it is left late.
- Elevator bookings in condos and apartments — many buildings book move windows weeks ahead
- Packing help, if you want the packing done for you
- Utilities and internet at the new address
- Time off work, childcare or pet care for the day
- Donation pickups or disposal before the move
Moving a Parent or Older Relative?
Senior moves usually involve more planning than a standard household move — downsizing decisions, a retirement residence’s move-in rules, and family schedules to coordinate. They benefit from a longer runway. We cover that separately in our guide to how far ahead to book a senior move.
If you are unsure whether your date is busy, ask. We will tell you honestly how much room there is and whether a nearby date would be easier — and you do not have to know every detail before you start.
